BINETIX® PTM™ can be successfully integrated to the accounting system in your organization, which enables the performance of specific straight and reverse accounting operations.

The accounting operations are managed through accounting states and usually arise in certain context, which means that these operations are not carried out independently as a regular accounting actions in an accounting system, but are result of other more complex actions. For example, when processing postal transactions or bank documentary operations a number of accounting operations can arise. Even more, upon these operations additionally can be carried out actions such as withdrawal and cancellation.

The operative statuses of accounting operations are a convenient way to monitor and to filter transactions depending on their status in the business process managed by BINETIX® PTM™.

Accounting operations in the System can be performed by users with rights (role) for "Accounting operations".

▪Accounting operation - this type of operations has a general meaning and is used for all straight accounting operations that have standard purpose.

▪Reversal operation - this type of operations describes a reversal operation that was performed within the calendar day of another accounting operation.

▪Reverse(backward) operation - this type of operations describes a reversal operation that was performed after the calendar day of another accounting operation.

▪Allocated Amount - This type of operations reflects straight accounting transactions of amounts that are allocated between different accounting accounts.

▪Fee - this type of straight accounting operation is used exclusively for accounting of fees.

•Registered - this special status indicates that a specific accounting operation is to be further processed in an appropriate future period of time. For example, this status can be seen to actual accounting operations that are planned for periodic fees to be accounted at the next payment period.

•To Be Processed - in this status are marked accounting operations which must be send for execution to an external accounting system. In other words, these operations are yet to be performed, but the system has not yet processed them.

•Processing... - this status indicates that an accounting operation is sent for execution to an external accounting system, but still the result of this executions has not been received yet.

•Completed - the status if final and indicates a successfully completed operation to an external accounting system.

•Not Approved - this status is used when an execution error occurs to the external accounting system. More information about the context of the error can be found through the verification screens of the selected accounting operation.

•Not Approved (Reverse) - this status is applied to a straight accounting operation and indicates that an error in the account reversing process has arose.

•Reversed -  this status if final and indicates that the straight reversal accounting operations have been successfully accounted and reversed.

•Canceled - final status which indicates the result of the denial of processing that can be triggered by a manual operation or automatically by the System due to a lack of consistency of the operation data.

•To Be Reversed - through this status the user requests a reversal on which a second control must be performed.

•For Cancellation - by purpose this status is similar to the status "To be processed", specifically marking those accounting operations that are to be reversed by the system.

•For Correction - not used - reserved for future usage.

•For Inspection - not used - reserved for future usage.

•Blocked - not used - reserved for future usage.

•Partially Completed - not used - reserved for future usage.

•For Information - this status is used for information purposes only to indicate an event during the accounting operations. This status does not reflect a real accounting operation! In the System, for example, it can be seen as an additional information line among a group of other accounting operations, which line shows a certain event that accompanied the transactions in the general chronology .

•Returned - this status marks accounting operations that are processed outside the System. For example, refused or already reversed outside BINETIX® PTMâ„¢.

The execution of accounting operations can be performed from the specialized management screens, which are accessible either directly from the "Accounting" icon (as shown below) or in the context of another operation, such as money transfer or Documentary Record.

The System enables the user to manage straight and reverse accounting operations, as different types of actions can be applied to them.

These actions can be initiated by specifying a single operation from the "Accounting" management screens or the actions are a consequence of the execution of a business process, such as accounting by Order to a documentary operation.

General actions on single accounting operations:

•Option to edit some requisites of a selected operation;

•Option to perform straight operations;

•Option to refuse execution;

•Option to repeat unsuccessful accounting operations in the status "Not Approved" and "Not Approved (Reverse)";

•Option to perform reversing to straight accounting operations.

Reversal operations are performed after selecting the "Control" menu then selecting the desired action.

In the BINETIX® PTM System reversal is allowed in accordance with the business processes in two situations:

•Directly "For Reversal" without the presence of secondary control - the initiator of the action causes the immediate execution of the respective accounting operations.

•"Pending for reversal" when secondary control is activated - the initiator of the action requests execution, which is expected to be approved, but this does not lead to the execution of accounting operations.

The option of additional (second) control can be adjusted according to the needs of your organization in two ways:

1) A second control performed by a user with special rights who can deny or approve the action and return it for execution to the initiator, or

2)Second control performed by another user with the same rights as the initiator, who can deny or continue the execution of the operation "Reversal" without returning it for execution to the initiator.

➢Upon successful reversal of a straight accounting operation within the same day on which it is completed, a copy of the type "Reversal operation" is made on the original straight  accounting operation, which is marked for reversal with an appropriate flag in the accounting system .

➢Upon successful reversal of a straight accounting operation after the day on which it is completed, a copy of the type "Reversal operation" is made of the original straight accounting operation, on which the debit and credit part are exchanged.

➢Upon successful reversal of the straight operation, as well as the backward accounting operation they are placed in status "Reversed".

➢Upon unsuccessful reversal of the straight operation it is placed in status "Not Approved (Reverse)" without making a copy of its reversed or backward operation.

➢Additionally, after a unsuccessful reversal, any user with accounting rights can return the failed straight operation to the status "Pending reversal" and thus cause another second control and execution.

As a result of successful reversal, the System records additional data to the accounting operation in the "Information" section. For example, there you can check which users were involved in the process, including when performing a second control. The System may differentiate between reversals within or beyond the same business day, and may execute various commands into your accounting system if necessary.
